DESKRIPSI PEKERJAAN
Assist in the management of COO and Medical Director’s scheduling of appointments and meetings.
Assist in the screening of phone calls, taking messages and redirecting callers to the correct department or person.
Recording secretary for regular meetings chaired by the COO and Medical Director
Transcribing of dictation.
Open/sorting and channeling of mail/faxes.
Tracking all incoming and outgoing documents for the COO and Medical Director.
Translation of faxes/letters written in Malay to English.
Issuance of purchase requisition when necessary.
Assist in the maintenance of an organized filing system, keeping of confidential records and information, and ensure the confidentiality of such information.
In charge of office equipment such as fax machine, photocopier and colour printer.
Monitoring the stock and requisition of A4 and A3 papers, stationeries and refreshments in the pantry.
Ordering of flowers/fruits for VIP
Assist in welcoming visitors, making drinks and ordering of refreshments from the F & B department as and when necessary.
Coordinate the booking and usage of boardroom.
Other administrative work such as typing, faxing, photocopying, filing and dispatching either by hand, ordinary post or courier.
Assist in the overall cleanliness of the office and pantry.
Any other duties as assigned by the COO or Medical Director.
REQUIREMENT
Good command of spoken English and Bahasa Malaysia.
Pleasant personality, good communication skills and telephone etiquette.
Willing to work extended hours when needed.
Able to work independently with minimum supervision.
Proficiency in typing.
Good knowledge on effective and efficient filing management.
Organised
Computer literate especially in MS Word, MS Excel, MS Powerpoint and Microsoft Outlook.
