CLERICAL/ADMINISTRATIVE SUPPORT (Staff)

DESKRIPSI PEKERJAAN

Key responsibilities include (but not limited) to the following: 1. Typing and preparing memos, agenda and reports. 2. Preparation of Board papers to the members of the Board of Directors. 3. Distribution and monitoring of Circular Board Resolutions in conjunction with the external / internal Company Secretaries and ensuring its proper sign off. 4. Preparing presentation slides / materials. 5. To liaise with Regional Offices on reports’ preparation and compilation. 6. To coordinate with Admin Division to operate and maintain in good working order of photocopier, facsimile, telephone system or other office equipment. 7. To coordinate with Admin Division on the office stationery procurements and dealing with the printers and suppliers. 8. Take part in Balance Score Card monitoring, e-Recruitment, merger activities, team building and office renovation, if any. 9. Answering, screening and directing incoming calls and making outgoing calls for the Head. 10. Scheduling appointments &meetings & ensure proper notification is given. 11. Setting up and maintaining a proper and accurate filing and record systems of its office personnel leave record and reconcile with the records of the Group Human Resources Department. 12. Managing office in-coming mails. 13. Compiling and submitting the Head’s monthly expenses and medical claim, and follow-up with Group Human Resources Department for payment. 14. Arranging company car and pool driver for directors/visitors/clients from overseas who need to travel to airport and etc. 15. Handling and booking of air tickets and hotel accommodation for the Head and also making changes to the return tickets or check-in. 16. Arranging/purchasing meals for lunch meeting & other company events. 17. Keeping and maintaining sufficient stock of stationeries, letterheads, envelopes and name card for the Head. 18. Work closely with other secretaries. 19. Relief other secretary when they are on medical/annual leave. 20. Perform other operations & administrative functions as may be assigned by the superior from time to time. Requirements
REQUIREMENT

Bachelor Degree - Any related field(s). Minimum 3-5 years’ experience as administrator to senior management in multinational company. Fluent in spoken and written English and Bahasa Malaysia, proficient in Microsoft Office applications, pleasant personality with strong organizational, good interpersonal skills and good communication skills, able to work independently and effectively with people from all levels, self-motivated, fast worker, team player and one who thrives working in a challenging and fast-paced environment.
