DESKRIPSI PEKERJAAN
Oversee and manage the day to day office facilities and administration functions to ensure continuity of Facility Management services and minimise any disruption to client office operations
Coordinate building repair requests and engage vendors for repairs include HVAC, electrical, plumbing and general repair
Act as liaison between facilities, employees and external vendors
Open/close facilities work orders, process purchase orders and invoices for payment
Managed purchase orders, quotes and order office supplies while ensuring effective cost control
Maintain vendors purchasing orders and invoicing, records and proceed to Accounts Payable team
Follow up and keep track of vendors payments and cost centre coding for invoice recording
Manage office access card process and maintain access control register
Carry out daily walk rounds, routine site inspections to ensure a functioning, clean and safe work environment, this includes functionality of equipment, upkeep of fixtures and safety equipment within the office
Liaise with Building Management for work permits and building access where required
Promote office security, health and safety practices
Supervise and liaise with onsite office Tea Ladies and external cleaning staff
Assist in reviewing and making recommendations regarding the cleaning and facilities related services and operations
Supervise vendors while undertaking services onsite
Develop/update monthly office preventative maintenance schedules
Manage and update office Operations Manual/Playbook
Support the Account Lead & assist with other facility related functions that may be assigned
